A board presentation should make it easy to distinguish information for awareness, matters for discussion and decisions requiring approval. The deck is most useful when a director can identify the requested decision before reading the supporting detail.
The example below is a fictional software company considering a customer-onboarding pilot. Its figures illustrate presentation structure; they are not Syaxis results or advice about a real board decision.
Lead with the decision and material changes.
Show actual versus plan using consistent definitions.
Give each risk an owner and a response.
A seven-slide board update
Keep the main presentation focused on the meeting. Put detailed reconciliations and background material in an appendix or approved supporting pack so the main sequence does not become a data dump.
| Slide | Headline | Supporting material |
|---|---|---|
| 1 · Decision | Approve a six-week onboarding pilot | Owner, requested resources and decision date |
| 2 · Performance | Revenue is below plan; activation is the larger operating gap | Actual-versus-plan table with period and definitions |
| 3 · Explanation | Activation delays are concentrated in setup | Funnel by stage and the evidence behind the interpretation |
| 4 · Options | Pilot a guided setup before funding a broader rollout | Comparison of doing nothing, piloting and full rollout |
| 5 · Risk | The pilot may shift workload onto support | Capacity estimate, owner and response |
| 6 · Milestones | Review adoption and workload before expansion | Start date, checkpoint and stop criteria |
| 7 · Approval | Authorize the pilot within the stated boundary | Exact approval request and unresolved conditions |
Make the performance table interpretable
In the fictional quarter, revenue is 920,000 against a plan of 1,000,000: a shortfall of 80,000, or 8% of plan. Activated accounts are 180 against a plan of 240: 60 fewer, or 25% below plan. These are different measures and should not be blended into a single “performance” score.
The slide needs the reporting period, currency and activation definition. If activation means completing three setup steps within fourteen days, keep that definition visible. Otherwise a change in the definition can look like a change in business performance.
| Measure | Plan | Actual | Variance |
|---|---|---|---|
| Revenue | 1,000,000 | 920,000 | −80,000 / −8% |
| Activated accounts | 240 | 180 | −60 / −25% |
Separate the result from its explanation
A lower activation count is an observation. “Setup complexity caused the gap” is an explanation that needs evidence. Label the explanation as a hypothesis if the supporting interviews or funnel analysis are incomplete.
Include the strongest alternative explanation. For example, a different acquisition mix could affect activation even if setup has not changed. Showing this alternative gives directors something specific to challenge and helps management explain what the pilot will learn.
Write the approval as a bounded request
A useful request states the action, owner, resources and review point. In this example: approve a six-week guided-onboarding pilot for one defined customer segment, led by the onboarding manager, within an agreed support-capacity limit. Leave unknown amounts unresolved rather than inventing a budget.
The closing slide should also say what is not being approved. A pilot decision should not read like authorization for a company-wide rollout. The executive summary example shows how to state a recommendation and its conditions together.
A source-grounded AI brief
“Create a seven-slide board update from the attached approved quarterly pack. Start with the onboarding-pilot decision. Use the supplied revenue and activation definitions. Distinguish observed results from management hypotheses. Compare three options and leave missing resource estimates as open questions. End with the precise approval requested.”
In Syaxis, use the source pack to create the presentation, then revise specific slides through chat. Ask for a clearer variance explanation or a narrower approval boundary rather than a general request to make the deck more persuasive. The author remains responsible for the decision material.
Review the pack before circulation
Have the owner of each metric check the period, units and comparison basis. Confirm that any restated figure is explained. Check that the exported PowerPoint retains the notes and caveats the board needs to interpret the headline.
A board update and a customer QBR presentation should not reuse the same narrative unchanged. They serve different audiences and approval responsibilities. Use the consulting deck structure when the main job is comparing strategic options.
자주 묻는 질문
How many slides should a board presentation contain?
Use the number needed to support the agenda and decisions. This seven-slide example is a structure, not a rule. Detailed background can sit outside the main meeting sequence.
Should every metric appear in the main deck?
No. Prioritize material changes and measures needed for the discussion. Preserve supporting detail in the appropriate pack rather than crowding every slide.
Start by writing the approval request in one sentence. Then build the evidence required to assess it using the AI presentation workflow.
